Invoice Reminder Email Templates

Generate a polite, specific payment reminder for your client in seconds — written for agencies and consulting firms.

What makes a reminder work without hurting the relationship

  • Be specific. Name the invoice, the amount, the due date and what the work was.
  • Assume good intent. A late payment is often a process problem — an approval stuck with someone, a missing PO — rather than a refusal.
  • Make it easy to answer. Ask for an expected payment date, and invite questions about the invoice.
  • Remind before the due date. A heads-up a few days early prevents many late payments.
  • Stop when there is a real disagreement. If a client questions scope or hours, talk to them instead of sending another reminder.

What to avoid

Threats, fake urgency, mentions of collections or legal action in routine reminders, and anything you would not say to the client in person. For recurring retainer clients, keep the tone warm — the relationship is worth more than one invoice.
